Privacy Policy

We're pretty serious about keeping your info safe

Last updated: January 2024

Look, We Get It

Privacy policies can be a drag to read through, but we've tried to make this one straightforward. Here's the deal - at Dusk Quintarion Architecture, we only collect what we actually need to do our job and work with you properly.

We're a small firm based in Toronto, and honestly, we're not interested in mining your data or selling it to anyone. That's not our thing. We just want to design beautiful, sustainable buildings and help bring your architectural vision to life.

What Info We Actually Collect

When you reach out to us or work with us on a project, we'll typically gather:

  • Contact details - Your name, email, phone number, and mailing address. Pretty standard stuff so we can actually get in touch with you about your project.
  • Project information - Details about what you're looking to build or renovate, site info, budget ranges, timelines. All the nitty-gritty we need to put together a proper proposal.
  • Property data - If we're designing something for you, we'll need site plans, measurements, photos, existing drawings - whatever helps us understand what we're working with.
  • Financial info - When it comes time for contracts and payments, we'll process billing details through secure channels. We don't store full credit card numbers on our end.
  • Communications - Emails, notes from meetings, phone conversations. We keep records so nothing falls through the cracks during your project.

How We Use Your Information

We're not gonna beat around the bush here. Your information helps us:

Design & Deliver

Create architectural plans, coordinate with consultants, handle permits, and basically manage your project from concept through construction.

Stay Connected

Send you updates, answer questions, share progress photos, and keep communication flowing throughout the design process.

Handle the Business Side

Process payments, send invoices, maintain records for tax purposes and professional insurance requirements.

Improve Our Work

Learn from each project so we can get better at what we do. Occasionally, we might reach out for feedback after a project wraps up.

Who We Share With (And Why)

We're not in the business of selling your data. Period. But sometimes we need to share info with others to get your project done:

  • Project consultants - Structural engineers, landscape architects, energy consultants, and other specialists who help make your design work properly.
  • Contractors & trades - The folks who'll actually build what we design need the plans and specs.
  • Municipal authorities - Building departments, planning offices, and other government agencies that need to review and approve projects.
  • Legal & financial pros - Our lawyers, accountants, and insurance providers when necessary for business operations.
  • Service providers - Cloud storage, email hosting, project management software - the digital tools we use run on secure platforms.

Everyone we work with is bound by similar confidentiality requirements. We make sure of it.

Cookies & Website Tracking

Our website's pretty simple and doesn't go crazy with tracking. We use basic cookies to:

  • Remember your preferences if you've visited before
  • Understand which pages people find useful (helps us make the site better)
  • Keep our contact forms working properly

We use Google Analytics to get a general sense of traffic, but it's configured to respect privacy as much as possible. You can block cookies in your browser if you want - the site'll still work fine.

How Long We Keep Your Data

This depends on what kind of information it is:

Active projects: We keep everything while we're working together, obviously.

Completed projects: We're required to keep architectural records for at least 7 years under Ontario regulations. After that, we maintain project files as reference (you might come back for future work or need info about your building).

Inquiries that didn't turn into projects: Usually deleted after a couple years if we haven't heard from you.

Marketing contacts: We'll keep you on our occasional newsletter list unless you ask to be removed.

Your Rights & Choices

Under Canadian privacy law (PIPEDA), you've got rights when it comes to your personal info:

Access

Ask to see what personal information we have about you.

Correction

Request updates if something's outdated or wrong.

Deletion

Ask us to remove your info (subject to legal requirements).

Opt-Out

Unsubscribe from marketing emails anytime.

Complaint

File a complaint with the Privacy Commissioner if you're concerned.

Security Measures

We take reasonable precautions to keep your information secure:

  • Encrypted email and file transfers for sensitive documents
  • Secure cloud storage with reputable providers
  • Password-protected systems and regular software updates
  • Limited access - only team members who need specific info can see it
  • Regular backups so nothing gets lost
  • Secure disposal of physical documents when they're no longer needed

That said, no system is 100% bulletproof. We do our best, but can't guarantee absolute security.

Third-Party Links

Sometimes our website might link to other sites - manufacturer product pages, building code resources, that sort of thing. Once you click away from our site, this privacy policy doesn't apply anymore. We're not responsible for how other websites handle your data, so check their policies if you're concerned.

Changes to This Policy

We might update this privacy policy occasionally as our practice evolves or regulations change. When we do, we'll update the date at the top of this page and let existing clients know if there's anything significant. Major changes? We'll reach out directly.

Questions or Concerns?

Seriously, if something in here doesn't sit right with you or if you've got questions about how we handle your information, just get in touch. We'd rather have a conversation than leave you wondering.
